ChatGPT for marketing agencies: plan, setup and client-safe workflows

By the Flori team · Published · Updated

Short answer: a marketing agency of two or more people should use ChatGPT Business, which gives you a shared workspace, admin controls and no training on your business data by default. Keep each client in its own ChatGPT project with the voice guide and approved claims, and connect the system that holds your clients and their work. On Business, only admins and owners can add a custom connection, so one person sets it up for the team.

As of November 2026. Plan details come from OpenAI's own pricing and help pages, linked below, and can change. Prices are in USD. Written by Flori, which makes one of the tools you could connect.

Which ChatGPT plan should a marketing agency buy?

Team sizePlanPriceWhy
One freelancerPlus$20 a monthProjects, scheduled tasks and custom GPTs; turn off model training in data controls for client work
2 to 200 peopleBusiness, Standard seats$20 a seat a month billed yearly, $25 monthlyShared workspace, centralized billing, SSO, workspace agents, no training on your business data by default
Heavy writers or strategistsBusiness, Premium seats for those people$100 a seat a month billed yearly, $125 monthlyMore usage than Standard with no 5-hour limit; seat types can be mixed

Business prices are from OpenAI's Business pricing page, which also says that from December, plan usage will be one shared limit across ChatGPT and Codex. Plus pricing is from OpenAI's help center. For a full plan comparison, see ChatGPT for small business.

How do you keep each client's material separate?

  1. One ChatGPT project per client. Projects keep a client's chats, files and instructions together. Put the voice guide, audiences, banned phrases and approved claims in the project.
  2. Use the Business workspace for client work. On individual plans, OpenAI may use conversations to improve its models unless you opt out. On Business, OpenAI says it doesn't train on your business data by default.
  3. Publish only the connections you've tested. On Business, admins and owners add custom connections, test them, then publish them for the workspace, per OpenAI's help article.
  4. Keep the client's approval outside ChatGPT. A good draft in a chat is not the client's sign-off. Record approvals where the client gives them.

Eight workflows that save an agency real hours

WorkflowWhat ChatGPT doesWhat a person still does
Discovery to briefTurns the discovery call transcript into a creative brief with goals, audience and deliverablesConfirms budget and scope with the client
Proposal and statement of workDrafts the proposal and SOW from the brief, past projects and your rate cardPrices the risky parts and sends it
Monthly content planBuilds next month's calendar from the retainer and last month's resultsChecks it against the client's priorities
First draftsWrites posts, emails and landing page copy from the client project's voice guideEdits, fact-checks claims, sends for approval
Scope checkCompares a new request with the signed SOW and lists what is newDecides whether it is a change order
Meeting notes to tasksTurns a call transcript into tasks with owners and datesAssigns them and moves the board
Weekly client updateSummarises what shipped, what is waiting on the client and what is nextAdds context and sends it
Monthly reportDrafts the narrative from what was done and what slippedAdds the ad, search and analytics numbers and the recommendations

Business also includes workspace agents for repeatable workflows, such as a Monday status digest that runs for every client. OpenAI notes that each agent's builder decides which app actions it can take and when people are asked to approve them.

How do you connect ChatGPT to your client records?

A ChatGPT project holds reference files, but files are copies. When the real brief or task list changes, ChatGPT keeps working from the old version until someone uploads it again. Connecting the live record fixes that.

There are two routes:

Flori is a CRM with project management that connects this way, built for retainers: each client's month of content, campaigns and reports in one project, with the client's marketing lead approving on a client page. An admin adds Flori's server at https://useflori.com/mcp once, publishes it for the workspace, and each person signs in to their own Flori account. At sign-in they choose the whole workspace or a single client project, with read-only or update access.

Once connected, a writer can ask ChatGPT to draft the October blog posts from the client's voice guide in Flori. The draft waits in Flori's review queue, where the writer approves it, sends it back or undoes it, and every save shows which assistant made it. Approved work goes to the client page for the client's sign-off.

Flori doesn't post to social networks, pull ad or analytics data, or bill hours against a retainer; keep your scheduler and reporting tools for that. Flori sells no AI credits, and assistants never count as seats (pricing). See how the retainer month works on Flori for marketing agencies, and setup steps on the ChatGPT connect page. If part of your team prefers Claude, the same records work there: see Claude for marketing agencies.

FAQ

Is ChatGPT good for marketing agencies? Yes, for briefs, proposals, first drafts, scope checks, meeting notes and monthly report narratives. It works best when each client has its own project with a voice guide and approved claims, and when it can read the live client record instead of uploaded copies.

Should a marketing agency use ChatGPT Plus or Business? Plus at $20 a month suits one freelancer. Once two or more people share client work, Business is the safer default: a shared workspace, centralized billing, admin controls and no training on your business data by default. As of November 2026, Standard seats are $20 a seat a month billed yearly or $25 monthly.

How do I keep client data separate in ChatGPT? Use one ChatGPT project per client, keep client work in the Business workspace, and publish only tested connections. In Flori, a connection can be limited to a single client project with read-only or update access.

Can ChatGPT connect to our agency's CRM or project tool? Yes, through a built-in app if one exists, or a custom MCP server on ChatGPT Business and Enterprise/Edu, added by an admin or owner on the web. Flori is a CRM with project management for agencies that connects this way.

Does ChatGPT replace our project management tool? No. ChatGPT drafts and summarises; it doesn't track approvals, owners and due dates across clients. Pair it with the system your team already works from.
