Flori / Solutions

Run every retainer month without rebuilding it

Every client buys roughly the same month: twelve posts, a newsletter, an ad refresh and a report on the 5th. Flori starts each month from a template, collects the marketing lead’s approvals on one page, and lets your writers’ own Claude or ChatGPT draft from the client’s voice guide.

Where a retainer month goes wrong

  1. Approvals scattered across threads

The client’s marketing lead approves the LinkedIn posts in Slack, two blog briefs by email and the ad copy on a call. On the 20th nobody knows what is cleared to publish.

  2. The month is rebuilt by hand

Someone copies September’s list, renames it October and misses that the client dropped the newsletter and added a webinar.

  3. The report eats the first week

An account manager spends a day pulling what shipped, what moved and what is next into the monthly report, for every client, every month.

One template per retainer, started each month

Build the month once: content briefs, drafts, internal review, client approval, publish dates, the ad refresh and the report. Start October from it, change the two items that changed, and the month is on the board.

Approvals from the marketing lead, in one place

Publish the month’s briefs and drafts to the client page. Their marketing lead approves from one link, and anything still waiting on the client shows on the board instead of in an inbox.

Drafts that already know the client

Keep each client’s voice guide, banned phrases, audiences and approved claims in Docs. Writers mark briefs Ready for AI, one assistant claims each, drafts from those docs and leaves the result in the review queue to approve, send back or undo.

Reports and new business from the same records

On the 1st, ask Claude to draft each monthly report from what was done, what slipped and what is planned, then add the ad and search numbers from your reporting tool. For your own new business, Smartlead sends prospects to a campaign and interested replies come back as intent on the account.

The first week of a retainer month

Fictional example: An example from Brightline, a five-person content and paid social agency with six clients.

  1. The 1st

The account lead starts November for each client from the template. Orchard Co. added a webinar, so two tasks change.

  2. The 2nd

Claude claims the blog outlines, reads each client’s voice guide and saves them for review. One drifts off brief and gets sent back.

  3. The 3rd

Outlines go to the client pages. Five marketing leads approve the same day. Lumen Health has approved nothing in two weeks, so the lead books a check-in.

  4. The 5th

October reports go out. Claude drafted each from the finished tasks, and the account manager added the ad numbers and recommendations.

Questions

Does Flori post to social or connect to ad accounts?

No. Keep your scheduler and ad platforms for that. Flori holds the plan, the drafts and the approvals, and on Core updates post to the Slack channels you choose.

How do we run the same retainer every month?

Build one project template with the month’s deliverables and approval steps, start each month from it and change what changed. See what a retainer is and the retainer agreement template.

Can our writers use their own ChatGPT or Claude?

Yes. Each writer connects their assistant over MCP, to the workspace or a single client project. Flori sells no AI credits, and assistants never count as seats.

What does a five-person agency pay?

Core is $12 per person a month, or $10 billed yearly, so $50 to $60 a month for five. Premium, with Smartlead and revenue tracking, is $29, or $24 billed yearly. Clients are free.
