HubSpot vs Pipedrive: which CRM fits a small agency?

By the Flori team · Published · Updated

Short answer: choose HubSpot if you want a free CRM to start with (up to 2 users, no time limit) and expect to add marketing or service tools later. Choose Pipedrive if selling is the main job and you want a focused pipeline tool your team will actually keep updated. Both now let Claude or ChatGPT read and update records over MCP.

How do HubSpot and Pipedrive price per seat?

HubSpot starts free. Its CRM pricing page describes the free tools as "Free for up to 2 users" with 1,000 contacts and no credit card. The Sales Hub pricing page then lists:

  1. Starter: from $7 per seat per month, with $20 also shown depending on the billing option, 500 HubSpot Credits.
  2. Professional: from $90 per seat per month ($100 also shown), 3,000 HubSpot Credits, plus a required one-time onboarding fee of $1,500.
  3. Enterprise: $150 per seat per month, 5,000 HubSpot Credits, plus $3,500 onboarding.

The jump from Starter to Professional is large for a five-person agency: five seats on Professional plus onboarding is a real budget line in the first year.

Pipedrive has four plans: Lite, Growth, Premium and Ultimate. Its help center explains the 2025 change from the old five-plan lineup (plan changes article). Its pricing lists, per seat per month: Lite $14, Growth $39, Premium $59 and Ultimate $79 billed annually, or $24, $49, $79 and $99 billed monthly, with a 14-day free trial. Prices exclude VAT.

Does HubSpot or Pipedrive offer a free CRM plan?

HubSpot offers a free CRM plan, while Pipedrive offers a free trial with no free plan.

This is the clearest difference for a freelancer. HubSpot's free CRM includes deal pipelines, contact management, email tracking, a meeting scheduler and Breeze Assistant, with up to two users (HubSpot CRM). Free has limits that show up quickly: one personal meetings link with HubSpot branding, and up to 3 email templates and 3 snippets per account (Sales Hub pricing).

Pipedrive gives you a 14-day trial with full access and no credit card (AI features page). After that you pay.

How do HubSpot and Pipedrive compare for deal pipelines?

Both are built around a visual deal pipeline: HubSpot limits the number of pipelines by plan (15 on Starter, 100 on Professional), while Pipedrive sets per-user lead and deal limits on each plan.

Both are built around a visual deal pipeline.

How do HubSpot and Pipedrive compare for sales automation?

HubSpot increases workflow capacity by plan, while Pipedrive adds automations and sequences from Growth.

HubSpot Starter includes up to 50 workflows with restricted triggers and actions. Professional raises that to 300 fully customizable workflows (Sales Hub pricing). For many small agencies, the automation they want is on Professional, which brings the onboarding fee with it.

Pipedrive automations use a trigger, conditions and actions, for example creating a deal from a qualified lead or posting to Slack when a deal moves (workflow automation). Only admins can set them up. Growth allows 3 if/else steps per automation and Premium allows 150 active automations (plan changes article).

Freelancers and agencies rarely stop at closed-won. The deal turns into a project with tasks, deadlines and client approvals. HubSpot and Pipedrive both handle the sale well; the delivery usually lands in a second tool.

Flori puts both in one workspace: accounts, people, deals and a pipeline board, plus projects, tasks with dependencies, boards and a client page (Core and up) where clients follow progress and approve. Your own AI does the work: connect Claude, ChatGPT, Grok, Cursor, Codex or Gemini CLI over MCP, with read-only or update access per workspace or project. A task marked Ready for AI is reserved by one assistant, and submitted work has a review path. Authorized direct updates can save immediately. Flori is free to start, then $10 per person a month on Core or $24 on Premium, billed yearly ($12 or $29 monthly). It has no sequences, phone calls or marketing email, so a sales-heavy team may still prefer HubSpot or Pipedrive.
