A Notion alternative for agencies
Short answer: keep Notion as your wiki and document hub. It is excellent at that. Consider Flori for the part Notion makes you build yourself: tracking client projects, deals and next steps, with ChatGPT, Claude or Cursor reading and updating the work instead of a separate Notion AI subscription.
As of October 2026. Notion details are limited to the sources linked below and can change. Written by Flori, not an independent review. For an agent-workflow comparison, see Flori vs Notion for AI agents.

When is Notion a better choice than Flori?
Notion is the best general-purpose workspace for writing. Docs, wikis, SOPs and databases sit in one place, guests are unlimited from the Plus plan, and its official assistant connector lets Claude Code, Cursor and Codex read and write pages. If your agency's core output is documents and you enjoy designing your own systems, Notion is a great home.
Where does Notion create friction for agencies?
In Notion an agency builds its own CRM and project tracker from scratch, needs the Business plan for full Notion AI, pays credits for Custom Agents, and starts every workflow from a blank page.
1. You are building a PM tool and a CRM from scratch. Notion has no native CRM. Agencies assemble one from databases or buy a template, then maintain it. The same goes for project tracking: statuses, relations, rollups and views are yours to design and keep working.
2. Real AI needs the Business plan. Per Notion's pricing page, Free and Plus get only a limited trial of Notion AI. Notion Agent and AI Meeting Notes are on Business and up. That is a per-seat upgrade, on top of the ChatGPT or Claude subscriptions your team already pays for.
3. Custom Agents run on credits. Notion's Custom Agents use Notion credits at $10 per 1,000 a month, purchasable only on Business and Enterprise. When credits run out, shared-credit agents pause until credits reset or an admin buys more, and included monthly credits reset rather than roll over (Notion help). For an agency where agents do real work, that becomes a variable cost to watch.
4. A blank page is not a workflow. Notion will happily store everything. It will not tell you which project is blocked, which assistant is already working on a task, or what needs your approval today unless you build that logic.
How does Flori handle client work compared with Notion?
Flori gives client projects a brief, a next step and blockers, with a home view across projects.
- Built-in structure for client work. Each project has a brief, a next step and its blockers. A home view shows what needs you across projects.
- Assistants are first-class workers. ChatGPT, Claude, Grok, Cursor or Codex read the brief, reserve a task so no one else duplicates it, and save the result.
- One review queue. Review submitted work and proposed changes. Authorized direct updates can save immediately.
- Sales next to delivery. Deals and clients live in the same workspace as the projects they turn into.
- No AI credits. AI work runs on the assistant or AI provider account you already have. Flori does not resell it.
A setup many agencies use: Notion plus Flori
You don't have to choose. Keep SOPs, proposals and knowledge in Notion. Run active client work, pipeline and assistant handoffs in Flori, and link the relevant Notion page in the project brief. Your assistants can read both.
Who should keep using Notion?
Notion remains the better fit for agencies whose main output is documents, teams with someone who enjoys maintaining databases, and teams already using Notion AI daily on Business.
- Agencies whose main output is documents and who want one tool for everything.
- Teams with someone who enjoys building and maintaining databases.
- Teams already on Notion Business that use Notion AI daily.
Who should try Flori as a Notion alternative?
Agencies tired of maintaining a homemade CRM and project system should try Flori as a Notion alternative.
- Agencies tired of maintaining a homemade PM and CRM system in Notion.
- Teams where ChatGPT, Claude or Cursor do most of the drafting and building.
- Founders who want a daily "what needs me" view without building it.
A fair one-week trial
- Pick one live client. Create the project in Flori and link its Notion page in the brief.
- Connect your main assistant with update access to that project.
- Ask it to break the agreed work into tasks and keep status current as work completes.
- At week's end, compare the time spent maintaining Notion views with the time spent reviewing Flori's queue.
FAQ
Is Flori a docs tool like Notion? Flori has documents and spreadsheets linked to projects and tasks, but it is built to run client work, not to be a company wiki. Keep Notion for a large knowledge base.
Do I need Notion AI to connect Claude to Notion? No. Notion's assistant connector is separate from Notion AI. The difference is that Flori is designed around assistants doing the work, with reservations, a review queue and a save history built in.
Does Flori charge for AI? No. You connect your own assistant.
