ClickUp vs monday: which suits a small team?

By the Flori team · Published · Updated

Short answer: choose ClickUp if you want the most features for the lowest per-seat price, a free plan with unlimited members, and you are happy to build your own setup (including a CRM) from its building blocks. Choose monday.com if you want a cleaner board-based tool that people adopt quickly, and a separate, ready-made CRM you can add later.

The real difference: build it yourself or buy it ready

For a four-person agency, the choice usually comes down to who maintains the setup.

ClickUp is a kit. Its CRM guide walks you through organizing Spaces, choosing views, adding custom fields, creating statuses and writing automations, starting from a Quick Start Sales and CRM template. That flexibility is the point: you can shape ClickUp around exactly how your agency works. The cost is time. Someone, usually the founder, designs and maintains the structure.

monday is closer to ready-made. Work management and CRM are separate products. monday CRM ships with pipeline management, contacts and accounts, and email tracking with Gmail and Outlook integrations (monday CRM), at $12, $17 or $28 per seat per month on Basic, Standard and Pro (yearly, per monday pricing). You buy the structure instead of building it, and pay for it per seat.

If your agency has someone who enjoys configuring tools, ClickUp gives more for less money. If not, monday's ready products save that person's evenings.

How do ClickUp and monday price their plans?

ClickUp is mid-transition. Its own help center says "Workspaces are being upgraded to our new plans" (ClickUp MCP article), and the pricing page shows both lineups:

  1. Older lineup: Unlimited at $7 per user per month billed yearly ($10 monthly) and Business at $12 yearly ($19 monthly), with AI sold as add-ons.
  2. Newer lineup: Core at $9 and Business at $17 per user per month billed yearly, with pooled AI credits included (1,000 and 1,500 per user per month), and Max at $100.

Which one you see depends on your workspace. Ask ClickUp before you sign.

monday is simpler to read: Free for up to 2 seats, then Basic $9, Standard $12 and Pro $19 per seat per month billed annually, with plans starting at 3 seats and no discount on monthly billing (monday pricing).

How do they charge for AI?

ClickUp Brain comes either as an add-on or bundled. On the add-on route, Brain AI is $9 per user per month with 1,500 AI Super Credits and Everything AI is $28 with 5,000. Extra credits are $10 per 10,000 (ClickUp pricing). The newer plans include pooled credits instead.

monday AI uses one credit pool per account: 1,000 credits a month on Basic, 2,000 on Standard, 3,000 on Pro, with extra buckets at $10 per 1,000 on Basic (monday pricing). Different features drain it at different rates: 8 credits per AI block action, 120 per meeting hour for the notetaker, while helpers like the docs assistant and prompt-to-board use none (monday AI Feature Catalog).

What about connecting ChatGPT or Claude?

Both have official assistant connectors (MCP servers) that read and write data, but the limits work differently, and this matters if assistants do a lot of your updating.

What does ClickUp do better than monday?

ClickUp offers a lower paid entry price on its older plan lineup and a free plan with unlimited members.

What does monday.com do better than ClickUp?

monday.com needs less configuration, sells a dedicated CRM product, and does not charge AI credits for assistant calls.

What is an alternative to ClickUp and monday.com for teams using ChatGPT or Claude?

Flori combines CRM and project management in one workspace and connects to a team's own ChatGPT, Claude or other assistant over MCP.

ClickUp and monday both sell AI credits on top of seats. If your team already pays for ChatGPT, Claude or Cursor, Flori is worth a look. It puts a CRM (accounts, people, deals, a pipeline board) and project management (projects, tasks, dependencies, boards, a client page) in one workspace, so you neither build a CRM from parts nor buy a second product. Your own AI does the work: connect Claude, ChatGPT, Grok, Cursor, Codex or Gemini CLI over MCP with read-only or update access per workspace or per project. One assistant reserves a task to reduce overlapping work among assistants that honor the claim, and submitted work has a review path. Authorized direct updates can save immediately. Flori has a free plan, then Core is $10 and Premium $24 per person a month billed yearly ($12 and $29 billed monthly). It does not send invoices, and it has no whiteboards. FAQ

Is ClickUp cheaper than monday? Usually, per seat. On ClickUp's older lineup, Unlimited is $7 per user per month billed yearly; on the newer one, Core is $9. monday Basic is $9 per seat per month billed annually, with a 3-seat minimum. ClickUp's free plan also allows unlimited members, while monday's free plan stops at 2 seats.

Does ClickUp or monday have a CRM? monday sells monday CRM as a separate product with pipeline, contacts and email tracking, from $12 per seat per month on yearly billing. ClickUp has no separate CRM product; its help center shows how to build one inside ClickUp with a Sales and CRM template, custom fields, statuses, views and automations.

Why does ClickUp show two sets of prices? ClickUp is moving workspaces to new plans, and its help center says not all workspaces have been upgraded yet. The pricing page shows the older Unlimited and Business plans with AI add-ons, and a newer Core, Business and Max lineup with AI credits included. Confirm which applies to your workspace.

Can ChatGPT or Claude update ClickUp and monday? Yes. Both offer official MCP servers with read and write access. ClickUp caps calls per rolling 24 hours by plan unless you buy Everything AI, for example 100 on Free Forever and 1,000 on Business. monday counts MCP calls against your daily API limit and not against AI credits.

Which is easier to learn, ClickUp or monday? That depends on the team, so test both with a real project. As a rule of thumb, ClickUp offers more options and expects more setup, which its own CRM guide shows. monday separates products such as work management and CRM, so each one starts with less to configure.
