Freelance invoice template (free, copyable)

By the Flori team · Published · Updated

A freelance invoice is a request for payment that names who is billing whom, what for, how much, and by when. The fields below are a practical starting point, not a universal tax-compliant format. Required details depend on your jurisdiction, business and transaction. Issue the invoice at the time agreed with the client and required by applicable rules.

The template

Copy this into a doc or spreadsheet. Replace every item in brackets.

What payment terms should a freelance invoice include?

A freelance invoice should state the payment deadline and any agreed late fee.

Payment terms say when you expect to be paid. Common choices:

For late fees, write the rule in your contract or statement of work first, then repeat it on the invoice. Use only wording and a rate that are valid for the transaction; this template does not recommend a default rate. Check the applicable rules before adding a charge. A reminder is a separate communication, not a change to the agreed terms.

What does a completed freelance invoice look like?

A completed freelance invoice identifies the work billed, the amount due and how and when the client should pay.

Fictional illustration: Maya Ortiz prepares a draft for the second milestone of a branding project. This is not ready to issue: tax treatment and any locally required details must be completed first.

  1. Heading: INVOICE INV-0042, issued 28 October 2026, due 11 November 2026.
  2. From: Maya Ortiz Design, 14 Larch Street, maya@example.com.
  3. To: Northwind Bakery Ltd, attention Dana Cole, accounts@northwind.example.
  4. Reference: Brand identity project, purchase order NW-118.
  5. Line items: Logo refinement and color system, 1 milestone, 1,800.00. Brand guidelines document, 1 milestone, 600.00.
  6. Subtotal: 2,400.00.
  7. Tax: Not determined in this example. Confirm applicable tax treatment; a client being elsewhere does not by itself establish an exemption.
  8. Total before tax: 2,400.00 USD. Calculate the final amount after resolving the tax treatment.
  9. Payment terms: Net 14.
  10. Payment instructions: Bank transfer to the account shown on the signed proposal, or the payment link below.
  11. Late payment: No illustrative rate supplied. Use only applicable, agreed and lawful terms.
  12. Note: Milestone 3, final files, will be invoiced at delivery.

How do I use a freelance invoice template?

Use a freelance invoice template with a unique sequential invoice number and send the invoice when the agreed milestone is reached.

  1. Number invoices in sequence and never reuse a number.
  2. Invoice at the milestone, not weeks later. Use the timing agreed for the engagement.
  3. Match the description to the contract. Use the same deliverable names, so the invoice is easy to approve.
  4. Send it to the person who pays, not only the person who hired you. Ask for the billing contact at onboarding.
  5. Follow up on a schedule: a reminder before the due date, one on the day, one a week later.
  6. Common mistakes: missing invoice number; no due date; vague line items like "services"; forgetting the currency; sending to a contact who cannot approve payment.

Freelancers on retainers can use the same layout every month; see the freelancers page for how a one-person business can run the whole cycle from one workspace.

How can I track freelance invoices with projects in Flori?

Flori Premium can record invoices, payments received and project value against the project and client.

Flori does not send invoices or collect payment. Make and send your invoice with the tool you already use. What Flori can do: on Premium, record the invoice, the payments received and the project value against the project and client, so you can see what is billed and what is outstanding. The invoice file itself can live as a doc linked to the project and client.

An assistant such as Claude or ChatGPT connected to your Flori workspace can read the project and the signed scope, and draft the line items for your invoice from completed tasks; you review the draft before anything leaves your hands. Plans are on the pricing page, and the setup before the first invoice is in the client onboarding template.

FAQ

What must be on a freelance invoice? A freelance invoice should show a unique invoice number, issue and due dates, your name and contact details, the client's legal name and address, itemized work with amounts, a total with currency, any tax, payment terms and payment instructions. Some countries also require a tax registration number.

What payment terms should a freelancer use? Agree the payment deadline, starting date and any deposit or milestone schedule before issuing the invoice. Consider your cash-flow needs and the client's process; no single payment period fits every engagement.

Can I charge a late fee on a freelance invoice? That depends on the agreement and applicable rules. Do not add a fee simply because a template includes a field for one. Check the permitted rate, notice and terms for your jurisdiction and transaction.

Should I invoice before or after the work? Both are common. A deposit invoice before starting protects you on new clients. Milestone invoices during the project keep cash flowing. A final invoice on delivery closes it out. Avoid billing only at the very end of a long project.

Does Flori send invoices? No. Flori does not send invoices or collect payment. On the Premium plan you can record invoices, payments received and value against a project and client, and keep the invoice document linked to them. Send and collect with your usual invoicing tool.

Do I need an invoice number? A unique reference helps trace the invoice and payment. Numbering requirements vary; for example, UK invoice guidance requires a unique identification number. Check the rules that apply to your business.

Check the rules for your business

The UK government invoice checklist lists required information for UK invoices and distinguishes VAT invoices. It is not a worldwide rule. The IRS recordkeeping guide explains US federal business-record principles; it does not establish your state or local invoice and sales-tax requirements. Sources checked October 29, 2026. Ask a qualified local adviser when the treatment is uncertain.
