Notion vs Asana: which should a small team use?

By the Flori team · Published · Updated

Short answer: use Notion if your team mostly needs a shared place to write and organize knowledge (wikis, client notes, specs, simple trackers) and tasks are secondary. Use Asana if your team mostly needs to get work done on time across several projects, with clear owners, due dates and guests. Many small teams end up using both, which is worth weighing against cost.

Knowledge tool or execution tool?

Notion and Asana are often compared, but they start from opposite ends.

Notion starts from the page. A page can hold text, a database, a board or a calendar, and pages nest inside each other. That makes Notion strong for a consultancy's playbook, client meeting notes, proposals in progress and a lightweight tracker or two. You can publish a page to the web on a notion.site domain from any plan (Notion pricing).

Asana starts from the task. Every task has an owner and a due date and rolls up into what each person has on their plate. That makes Asana strong for the same consultancy's delivery side: six engagements running at once, each with deliverables, reviewers and client guests. Asana's Starter plan includes unlimited free guests (Asana pricing).

A practical test: list the last ten things that went wrong at work. If most were "we couldn't find it" or "nobody wrote it down", start with Notion. If most were "it slipped" or "I thought you had it", start with Asana.

How do Notion and Asana price their plans?

Notion lists Free, Plus at $10, Business at $20 and Enterprise at custom pricing, per member per month, with a monthly or yearly toggle that saves up to 20% yearly (Notion pricing). The free plan works for one person; once two or more members share it, a block limit applies, plus 5MB uploads and 7 days of page history.

Asana lists Personal free for 2 users, Starter at $10.99 per user per month annual ($13.49 monthly), and Advanced at $24.99 ($30.49 monthly) (Asana pricing). Seats go up one at a time to 5 users, then in steps of 5 up to 30.

For a four-person team, Notion Plus is $40 a month and Asana Starter is $43.96 on annual billing. Running both costs $83.96 a month before any AI extras.

How is AI billed?

The two take different routes, and the difference adds up quickly for a small team.

Notion gives Free and Plus only a trial of Notion AI. Notion Agent, AI Meeting Notes and Enterprise Search (beta) come with Business at $20 per member (Notion pricing). Custom Agents also need Notion credits, about $10 per 1,000, which only Business and Enterprise workspaces can buy. When shared credits run out, agents pause until credits reset or an admin adds more (Notion credits help).

Asana includes AI Teammates, Asana Dash and AI Studio from Starter, each with monthly allowances. Beyond them, extra AI requests cost $0.50 each prepaid or $0.60 each pay as you go, with an optional monthly spend cap (Asana pricing).

So full AI in Notion means everyone on Business. In Asana, AI starts on the first paid plan and costs more only when you go past the allowance.

Can ChatGPT or Claude work in Notion and Asana?

Yes. Both offer official connectors (MCP servers) with read and write access, through OAuth.

What does Notion do better than Asana?

Notion is stronger for writing and knowledge, including wikis, notes, specifications and playbooks.

What does Asana do better than Notion?

Asana is stronger for managing owners, due dates and workload across projects.

Should you use Notion and Asana together?

Plenty of teams do: Notion for the wiki, Asana for the work. It is a reasonable setup if you keep the boundary clear (documents in one, tasks in the other) and link between them. The costs are two subscriptions, two places to search, and status that can drift when someone updates one tool and forgets the other. For a team under ten, ask whether one tool covering 80% is better than two covering 100%.

What is an alternative to Notion and Asana for teams using ChatGPT or Claude?

Flori combines CRM and project management in one workspace and connects to a team's own ChatGPT, Claude or other assistant over MCP.

If you are weighing Notion and Asana because you need knowledge and execution, and you also work with clients, Flori covers more of that in one workspace. It combines a CRM (accounts, people, deals, a pipeline board) with projects, tasks, subtasks and dependencies, plus Docs and Facts for team knowledge and documents and sheets linked to projects. A client page shows each customer only what you publish, and they approve from one link. The AI is your own: connect Claude, ChatGPT, Grok, Cursor, Codex or Gemini CLI over MCP, per workspace or per project, read-only or with update access. Results wait in a review queue, and every save records which assistant made it. Flori has a free plan, then Core is $10 and Premium $24 per person a month billed yearly ($12 and $29 billed monthly). It does not send invoices or collect payment. Compare: Notion alternative, Asana alternative, CRM with project management.

FAQ

Is Notion or Asana better for project management? Asana, for most teams whose main job is delivering projects. Tasks have owners and due dates and roll up across projects, and Starter includes unlimited free guests. Notion can track projects in databases and boards, but it is strongest as a wiki and writing tool, and deeper task features are things you set up yourself.

Is Notion cheaper than Asana? Slightly, at entry level. Notion Plus is $10 per member per month, with up to 20% off for yearly billing. Asana Starter is $10.99 per user per month on annual billing, or $13.49 monthly. The gap widens for AI: Notion's full AI features need Business at $20, while Asana includes AI from Starter.

Can Notion replace Asana? For a small team with simple projects, often yes: a Notion database with a board view covers basic tracking. For many parallel projects with owners, deadlines and guests, Asana's task model does more without setup. Test with one real project in each before you move everything.

Do Notion and Asana have AI included? Asana includes AI Teammates, Dash and AI Studio from Starter within monthly allowances, then charges $0.50 to $0.60 per extra request. Notion gives Free and Plus a trial; Notion Agent, AI Meeting Notes and Enterprise Search come with Business, and Custom Agents use credits at about $10 per 1,000.

Can I connect Claude or ChatGPT to Notion and Asana? Yes. Asana's official MCP server uses OAuth and documents Claude, ChatGPT, Claude Code, Codex, Cursor and VS Code.
