monday vs Asana: which fits a small team?
Short answer: pick monday.com if your team thinks in boards and columns, wants a visual tool people adopt quickly, and may later add a proper CRM from the same vendor. Pick Asana if you run structured projects with many assignees and guests, want a free plan for two people, and prefer buying seats one at a time while you are small.

How do monday.com and Asana prices compare for a team of three to six?
monday.com and Asana use different seat rules, so small teams need to compare paid seats as well as per-seat prices.
The headline numbers hide two different seat rules, and for a small team those rules matter more than the dollar figure.
monday's pricing page says plans "start from 3 users", and its free plan covers up to 2 seats (monday pricing). So a two-person business can stay free, but the moment you pay, you pay for at least three seats. The page also notes the monthly plan is not discounted, so the $9 Basic, $12 Standard and $19 Pro prices are the annual rates.
Asana's Personal plan is free for 2 users, Starter is $10.99 per user per month on annual billing ($13.49 monthly), and Advanced is $24.99 ($30.49 monthly) (Asana pricing). Asana's FAQ on that page says seats are added one at a time from 2 to 5 users, then in steps of 5 up to 30. For a team of four, you buy four seats. For a team of seven, you buy ten.
A worked example for a five-person team on annual billing, using only the listed rates:
- monday Basic: 5 seats at $9 is $45 per month.
- monday Standard: 5 seats at $12 is $60 per month.
- Asana Starter: 5 seats at $10.99 is $54.95 per month.
- Asana Advanced: 5 seats at $24.99 is $124.95 per month.
Check each vendor's checkout for taxes and seat buckets before you commit.
How do monday and Asana charge for AI?
Both now meter AI, but they count it differently.
monday gives each plan a monthly pool of AI credits: 1,000 on Basic, 2,000 on Standard and 3,000 on Pro, with extra credits sold in buckets (for example $10 per 1,000 on Basic) (monday pricing). monday's AI Feature Catalog shows what draws on that pool: AI blocks cost 8 credits per action, the AI Notetaker costs 120 credits per meeting hour, and sidekick messages range from about 10 to 150 or more credits depending on complexity. Several helpers, such as the docs assistant and AI formula builder, use no credits at all. Notifications fire at 80% and 100% of usage, after which "additional AI usage may be restricted".
Asana includes AI Teammates, Asana Dash and AI Studio on Starter, Advanced and Enterprise, each with monthly allowances. Beyond those, extra AI requests cost $0.50 each in prepaid packs or $0.60 each on pay as you go, with an optional monthly spend cap (Asana pricing).
In practice: monday's credits are a shared pool that features drain at different rates, so watch the admin usage tab. Asana's model is per request, which is easier to predict if you know how often your team asks the AI to do something.
What does monday.com do better than Asana?
monday.com offers a separate CRM product with pipeline, contacts, accounts and email tracking.
- A real CRM from the same vendor. monday CRM is its own product with pipeline, contacts and accounts, and email tracking with Gmail and Outlook (monday CRM). It costs $12, $17 or $28 per seat per month on Basic, Standard and Pro (yearly, per the pricing page). If you sell as well as deliver, that path exists without leaving the ecosystem.
- Built-in AI helpers that don't spend credits. Building boards from a prompt, AI text filters and column suggestions are free to use once AI is enabled (AI Feature Catalog).
- An official assistant connector that doesn't eat AI credits. monday's hosted MCP server lets Claude, ChatGPT, Cursor, Copilot and Gemini read and write board data (monday MCP). Those calls count against your API limit, not your AI credits.
What does Asana do better than monday.com?
Asana offers a free start for two users and seats added one at a time for small teams up to five.
- A cheaper start for two people, and flexible seats. Two users are free, and small teams add seats one at a time up to five (Asana pricing).
- Unlimited free guests on Starter. If you invite clients, freelancers or contractors to follow work, that is a real saving (Asana pricing).
- AI on the first paid plan. AI Teammates, Dash and AI Studio come with Starter, so you do not need a higher tier to try them.
- A well-documented assistant connector. Asana's official MCP server uses OAuth, supports reading and creating work, and documents setup for Claude, ChatGPT, Claude Code, Codex, Cursor and VS Code (Asana MCP docs).
- Salesforce if you already have it. The Salesforce integration can create Asana tasks when deals close, on Advanced and up (Asana and Salesforce).
Pick monday if / pick Asana if
Pick monday.com if:
- Your team is three or more people and likes visual boards and dashboards.
- You expect to want a CRM and would rather buy it from the same vendor.
- You want many small AI helpers that cost no credits, plus a credit pool for heavier AI work.
Pick Asana if:
- You are one or two people today and want a free plan that works for both of you.
- You invite many clients or freelancers and want guests free on the first paid plan.
- You already run sales in Salesforce and only need delivery in the work tool.
What is an alternative to monday.com and Asana for teams using ChatGPT or Claude?
Flori combines CRM and project management in one workspace and connects to a team's own ChatGPT, Claude or other assistant over MCP.
Both tools sell their own AI, metered in credits or requests. If your team already pays for ChatGPT, Claude or Cursor, that can mean paying for AI twice. Flori takes a different route: it is a CRM and project manager in one workspace (accounts, people, deals, pipeline board, projects, tasks and a client page), and the AI is yours. You connect Claude, ChatGPT, Grok, Cursor, Codex or Gemini CLI over MCP, per workspace or per project, with read-only or update access. Tasks marked Ready for AI are reserved by one assistant to reduce overlapping work among assistants that honor the claim, and submitted work has a review path. Authorized direct updates can save immediately. Flori sells no AI credits; in-app drafting runs on your own Anthropic or xAI key. Flori has a free plan, then Core is $10 and Premium $24 per person a month billed yearly ($12 and $29 billed monthly). It does not send invoices or collect payment. FAQ
Is monday cheaper than Asana? Per seat, yes at the entry level: monday Basic is $9 per seat per month billed annually, while Asana Starter is $10.99 per user per month annually. But monday's paid plans start at 3 seats, and Asana lets you buy seats one at a time from 2 to 5 users, so a team of two pays nothing on either free plan, and a team of three pays $27 a month on monday Basic versus $32.97 on Asana Starter (annual rates).
Does monday or Asana have a better free plan? Both free plans cover 2 people: monday's free plan allows up to 2 seats and Asana's Personal plan allows 2 users. monday's pricing page lists AI features as available from Basic, so its free plan has no AI credits. For a solo founder or pair, test both with a real project before paying.
Which has a CRM, monday or Asana? monday sells monday CRM as a separate product with pipeline, contacts and email tracking, at $12, $17 or $28 per seat per month on yearly billing. Asana has no CRM of its own; it connects to Salesforce on the Advanced plan and above, creating tasks when opportunities close.
Can I connect ChatGPT or Claude to monday or Asana? Yes. Both offer official MCP servers that read and write data. monday's names Claude, ChatGPT, Cursor, Copilot and Gemini, and its calls count toward your API limit rather than AI credits. Asana's uses OAuth and documents Claude, ChatGPT, Claude Code, Codex, Cursor and VS Code.
What happens when I run out of AI credits? On monday, notifications fire at 80% and 100% of your monthly credits, after which additional AI usage may be restricted until you buy a larger bucket. On Asana, extra AI requests cost $0.50 each prepaid or $0.60 each on pay as you go, and you can set a monthly spend cap.
