An Insightly alternative for a small team that sells and delivers

By the Flori team · Published · Updated

Short answer: consider Flori if a small service team wants clients, delivery tasks and its chosen assistants in one workspace. Keep Insightly if its sales reporting, automation and existing project setup already serve you well. Insightly already has projects and an MCP server; neither capability alone is a reason to switch.

A three-person price example, with the boundaries visible

Insightly lists CRM Plus at $29 per user per month, billed annually, including project management. Three users are therefore $87 per month equivalent and $1,044 per year. Flori Core is $10 per person per month billed yearly: $30 equivalent and $360 per year for three; monthly billing is $36 per month. These are USD list-price calculations before tax, discounts, add-ons and separate assistant subscriptions. Confirm any minimum commitment at checkout.

This does not establish equal features or a cheapest winner. Insightly's higher plans may be required for your automation. Flori Core does not send invoices, collect payments or provide e-signatures. Moving a working process also has a cost, even when the subscription is lower.

Try a four-record import before moving a business

Use our fictional Juniper sample: one account CSV, two people CSV and one won deal CSV. These are normalized Flori files, not an Insightly export. Import them in that order in a test workspace; check every preview before committing.

Source informationMap or reconcile
Organization name and websiteAccount name and domain
Contact name, email, role and organizationPerson fields and company relationship; combine separate name fields first
Opportunity, organization, amount and currencyDeal title, account and value; preserve the currency
Stage and close dateExplicit mapping to Flori's stages and YYYY-MM-DD date
Activities, attachments, custom fields and project tasksNo automatic preservation through this CRM CSV path; plan a separate destination

Expected result: one account, two people, two company relationships and one won deal for USD 6,000. No delivery project or contact-on-deal links are created by these CSVs. The full migration checklist covers duplicate detection, limits and reconciliation. The included files are exercised by Flori's local importer tests; that is not verification of a live Insightly export or a complete migration.

There is no dedicated one-click CSV import undo. Preserve the original export, test in isolation, and agree a recovery plan before importing live records. Keep the source system available until history, attachments, permissions and required reports have been accounted for.

A useful switching test

Run the same client project in both products. Create the delivery work, record a scope change, obtain a real test approval and recover the decision in a new assistant session. Use the comparison worksheet to separate setup effort from repeated work and record features you did not test. Keep Insightly if it passes and Flori adds no useful improvement.

FAQ

Does Insightly already have project management and MCP? Yes. Insightly publishes both capabilities. Compare the workflow, access and plan you need instead of treating either feature as unique to Flori.

Can I import an Insightly export directly? Not as a complete migration. Map a copy of your export to the supported account, person and deal fields, preview it, and reconcile the result. Activities, attachments, custom fields and project tasks need a separate verified plan.

Is Flori a replacement for invoicing and contracts? No. Keep a billing and signing tool if those are part of your client process. A delivery project is not a payment or a signed contract.
